# Invoice designer

> Design your own invoice with a drag-and-drop editor — place your logo, text, images, and shapes anywhere on the page and preview the real thing.

Free includes text, shapes, colors, data modules and the current organization Logo module. Image elements, uploaded image backgrounds and template-image storage require Standard or Plus.

AccountFUN gives you two ways to control what your documents look like:

* **Text templates** — fill in the wording (header, intro, terms, footer) and AccountFUN lays it out for you. Quick, and enough for most people. See [Settings → Document Templates](https://www.accountfun.com/docs/guides/settings/).
* **Design templates** — a full drag-and-drop editor where *you* decide where everything goes. This guide is about those.

With a design template you place your logo, text boxes, images, and shapes anywhere on the page, drop in smart blocks that fill themselves with the invoice’s real details, and preview the finished PDF with sample data as you work. Think of it as a simple design tool built just for your paperwork.

Where it works today

The visual editor currently designs **invoices**. Other document types (bills, quotes, and so on) use text templates.

## Start a design

1. Go to **Settings → Document Templates**.
2. Click **New Design Template** and enter an **Invoice Template Name**.
3. Choose a ready-made design from the gallery, or **Blank** to start from an empty page.
4. Click **Create & open editor**. The starter is your own editable copy.

The editor shows your page in the middle, the elements you can add along the top, and a **Layers** panel listing everything on the page.

Who can design

Opening the template library and creating or editing design templates needs the **Templates & Reminders** permission — Admins and Accountants have it by default. Everyone else who creates documents simply picks a finished template for their side (sales or purchases) when printing or emailing.

The gallery includes business and illustrated styles. Designs with an FPS QR code are offered only when FPS is configured for your organization. You can change the text, colors, images, layout and smart blocks after choosing a starter.

## Set up the page

Under page settings, choose the paper size (A4, A5, A3, Letter, Legal), portrait or landscape, and the margins on each side. Multi-page designs are supported too.

## Add elements

Drag any of these onto the page and position them freely:

* **Text** — your own words, with font, size, and color controls. Text can include placeholders like `{{total}}` or `{{due_date}}` that fill themselves in on the real document. Under the text’s **Content** box, click **Show available tokens for Invoice** for a scrollable list of every token with a short description — click one to insert it at your cursor.
* **Images** — upload a PNG or JPEG. Images can be cropped (pan and zoom inside a frame), cropped to a shape (circle, rounded corners, star…), rotated, and made see-through.
* **Shapes** — rectangles, circles, lines, pills, diamonds, and more, for banding and accents.
* **Smart blocks** — the parts that fill themselves in: your logo and letterhead, the “bill to” address, dates and numbers, the line items and totals table, notes and terms, and page numbers.

Click any element to select it and adjust it in the settings panel. In the **Layers** panel you can rename elements, change what sits on top of what, and lock or hide them.

A design can hold up to 200 elements and a small library of images — plenty for even a busy layout.

## Preview as you go

Click **Preview** to see the true finished document in a centered window, rendered with sample data (short and long versions, so you can check both a one-liner invoice and a many-line one). The working canvas also shows a close approximation with sample data at all times.

## Reuse your work

* **Duplicate** — every template card has a Duplicate action that copies the whole design under a new name. The painless way to try a variation.
* **Copy and paste between templates** — copy an element in one template (Ctrl/Cmd+C), open a different template, and paste it in (Ctrl/Cmd+V). If the element used an image, the image is copied across automatically. This works between templates of the same document type.

## Safety nets

The editor has **undo/redo**, shows when you have **unsaved changes**, and handles two people editing the same template gracefully — if someone else saved while you were working, you’ll be told rather than quietly overwriting each other.

## Using your design

Once saved, your design appears in the template list alongside the wording templates. Pick it when printing or emailing an invoice (designs are labeled “Design template”), or set it as the default for invoices under [Settings → Organization](https://www.accountfun.com/docs/guides/settings/).

Getting paid faster

Pair your design with [online payments](https://www.accountfun.com/docs/guides/online-payments/) so a **Pay Now** button appears on the invoice your customers see. Organizations in Hong Kong with FPS configured can also drop a “Scan to pay” QR code onto the page.

## Worked example: a clean one-page invoice

1. **Settings → Document Templates → New Design Template**, name it “Clean & simple”, select **Blank**, and click **Create & open editor**.
2. Drag an **image** element to the top-left and upload your logo.
3. Next to it, a **text** element with `{{org_name}}` and `{{org_address}}`.
4. Top-right, a smart block for **dates and numbers**.
5. Below, the **bill to** block, then the **line items & totals** table.
6. A thin **rectangle** in your brand color above the table as an accent.
7. Bottom of the page, a **notes & terms** block: “Payment due within 30 days. Thank you!”
8. **Preview** with the long sample data to check nothing overflows, then **Save**.

Your next invoice can now go out looking every bit as professional as the work behind it.
