Connect an AI assistant
You can connect an AI assistant to AccountFUN, so that you can say “file my receipts as bills” and the assistant does it for you: it reads each receipt, finds or adds the supplier, records the bill, and gives you a link to attach the original receipt. When you allow it, the assistant can also record payments, spend or receive money, draft and edit documents, and manage credit notes and prepayments.
Popular assistants that work today include the chat assistants Claude, ChatGPT and Perplexity, and the coding agents Claude Code, Cursor, GitHub Copilot (VS Code), Gemini CLI, opencode and ZCode — and any other client that supports a remote MCP connector.
The assistant works as you. It can only do what your AccountFUN role allows and what you allow when you connect it. Everything it does shows up in each document’s History & Notes and in the Audit History, marked with the assistant’s name.
What the assistant can do
Section titled “What the assistant can do”| It can |
---
Look up your suppliers, customers, accounts, tax rates, items, projects and fixed assets
Add a new supplier or customer
Record bills and invoices, always as drafts
Edit a draft document, and change the reference, project or settlement of any document
Submit, approve, void, revert or delete a document — only if you tick the matching access and your role allows it
Read your reports — trial balance, profit & loss, balance sheet, AR/AP aging and contact statements
Read the documents and receipts you share with it in the chat
Give you a link to attach each original file to its document
Add notes to a document
Record payments, spend or receive money, and apply or refund credit notes and prepayments — only if you tick the matching money access and your role allows it
What it can’t do
Section titled “What it can’t do”- Change a posted document’s amounts, dates or lines.
- Open files stored in AccountFUN.
- Do anything your own role can’t do.
The assistant always records bills, invoices and credit notes as drafts, and a new prepayment starts as a draft too. Posting, deleting and everything that moves money are switched off unless you tick them when you connect the assistant (step 1). Even then, the assistant is told to act only when you ask, and to check with you before it does.
Before you start
Section titled “Before you start”- Most assistants need nothing set up in AccountFUN first. Claude, ChatGPT, Perplexity, Claude Code, Cursor, GitHub Copilot, Gemini CLI, opencode and ZCode all register themselves: you add the MCP URL as a connector (or run the client’s own add command) and sign in when asked. An assistant that can’t register itself needs an app under Settings → API & Developers first, and you give its client ID and secret to the connector.
- On the assistant’s side you need a plan that allows custom connectors — for example Claude Pro, Max, Team or Enterprise; ChatGPT Plus or above; or Perplexity Pro, Max or Enterprise.
- Your role decides what the assistant can do. To record bills it needs bills access. Approving bills needs the Approve Documents permission. If your role allows only some of this, you can still connect: the assistant just can’t do the rest. For example, the ready-made Purchase role can’t approve, so the assistant can only record drafts. See Roles & permissions.
Step 1 — Add AccountFUN to your assistant
Section titled “Step 1 — Add AccountFUN to your assistant”Every assistant connects to the same MCP server URL:
https://app.accountfun.com/api/v1/mcp. Paste it as a custom connector in the
assistant, then sign in to AccountFUN when it opens.
Claude
Section titled “Claude”- In Claude, go to Customize → Connectors, click + Add, then Add custom connector.
- Name it AccountFUN and paste the MCP server URL. Leave Advanced settings empty — Claude registers itself.
- Add the connector and click Connect. AccountFUN opens: sign in, choose your organization, review the access, decide which of the higher-trust options to tick (see What you’re asked to allow), and click Allow.
On Claude Team or Enterprise, an owner adds the connector once under Organization settings → Connectors. Each member then clicks Connect under Customize → Connectors and signs in to AccountFUN as themselves.
ChatGPT
Section titled “ChatGPT”- In ChatGPT, open Settings → Connectors (or Apps) and choose to add a custom connector.
- Name it AccountFUN and paste the MCP server URL, with OAuth as the authentication. You don’t enter a client ID or secret — ChatGPT registers itself.
- Click Connect. AccountFUN opens: sign in, choose your organization, review the access, decide which of the higher-trust options to tick, and click Allow.
Perplexity
Section titled “Perplexity”- In Perplexity, open Settings → Connectors and click + Custom connector, then choose Remote.
- Name it AccountFUN and paste the MCP server URL. You don’t enter a client ID or secret — Perplexity registers itself.
- Tick the box confirming you understand the risks of custom connectors, then click Add.
- Click Connect. AccountFUN opens: sign in, choose your organization, review the access, decide which of the higher-trust options to tick (see below), and click Allow.
- Go to grok.com/connectors and click New Connector → Custom.
- Name it accountfun and paste the MCP server URL.
- Complete the sign-in: choose your organization, review the access, decide which of the higher-trust options to tick, and click Allow.
Grok needs the MCP server to be reachable over the public internet — AccountFUN’s URL is.
Claude Code
Section titled “Claude Code”In a terminal, run:
claude mcp add --transport http accountfun https://app.accountfun.com/api/v1/mcpThen start Claude Code and run /mcp, pick accountfun, and sign in when
AccountFUN opens — choose your organization, review the access, and click
Allow.
Cursor
Section titled “Cursor”- In Cursor, open Settings → MCP and click Add new MCP server.
- Name it accountfun, paste the MCP server URL, and save.
- Click Authenticate when prompted; sign in to AccountFUN, choose your organization, review the access, and click Allow.
Cursor also reads ~/.cursor/mcp.json, so an entry
{"mcpServers":{"accountfun":{"url":"https://app.accountfun.com/api/v1/mcp"}}}
works the same way.
GitHub Copilot in VS Code
Section titled “GitHub Copilot in VS Code”- Open the Command Palette (Ctrl/⌘ + Shift + P) and run MCP: Add Server.
- Choose HTTP, paste the MCP server URL, and call it accountfun.
- VS Code asks you to sign in to AccountFUN: choose your organization, review the access, and click Allow.
To share it with a project instead, add it to .vscode/mcp.json:
{ "servers": { "accountfun": { "type": "http", "url": "https://app.accountfun.com/api/v1/mcp" } } }Gemini CLI
Section titled “Gemini CLI”Run:
gemini mcp add --transport http accountfun https://app.accountfun.com/api/v1/mcpThen, in a session, run /mcp auth accountfun and sign in to AccountFUN when
prompted.
opencode
Section titled “opencode”Add this to your opencode.json:
{ "$schema": "https://opencode.ai/config.json", "mcp": { "accountfun": { "type": "remote", "url": "https://app.accountfun.com/api/v1/mcp" } }}Then run opencode mcp auth accountfun and sign in to AccountFUN in the
browser that opens.
- In ZCode, open Settings → MCP Servers and click New MCP Server.
- Choose a Scope (User or Workspace), name it accountfun, set the type to HTTP, and paste the MCP server URL.
- Add it, turn on OAuth for the server, and click Open authorization; sign in to AccountFUN in the browser that opens.
Menus in these assistants change from time to time. If a label has moved, look for custom connector, MCP, or add server.
What you’re asked to allow
Section titled “What you’re asked to allow”When AccountFUN opens, it lists what the assistant will be able to do in the organization you choose.
- It tells you who is asking. All of these assistants register themselves, so AccountFUN labels the connection not verified and shows the place it will send you back to. That is normal here; only continue if you started connecting it yourself just now.
- Approving and moving money are up to you. They’re listed under Only if you tick it: and start unticked: approving bills, invoices, credit notes and prepayments; recording payments; spending, receiving and transferring money; creating prepayments; applying or refunding credit notes and prepayments; and deleting bills, invoices and credit notes. Leave them unticked and the assistant can read your books and draft documents, but never post or move anything. Tick only what you want to be able to ask for.
- Your role sets the limit. Anything your role doesn’t allow is marked “(not available with your role in this organization)” and left out. The assistant works with the rest. If your role allows none of it, AccountFUN won’t connect the assistant.
Step 2 — File your receipts
Section titled “Step 2 — File your receipts”-
Share your receipts with the assistant in the chat — photos or PDFs — and ask something like:
Record these receipts as bills in AccountFUN. Use the supplier on each receipt and record them as drafts.
-
For each receipt, the assistant:
- reads it — if it can’t read a receipt clearly, it should ask you rather than guess;
- finds or adds the supplier;
- checks it hasn’t been recorded already, using the receipt number and the supplier;
- records a draft bill with the receipt number as its reference;
- adds a short note saying what it read and anything it assumed;
- gives you an upload link for attaching the original receipt.
-
Attach the originals. The assistant can see your receipts but can’t send the files to AccountFUN itself, so for each bill:
- Open the link. It works on your phone and you don’t need to sign in.
- Pick the receipt, or take a photo of it, and click Upload.
The receipt is attached to that bill. A link works for 15 minutes, takes up to 5 files and can only add files to that one bill. If it has expired, ask the assistant for a new one. You can also drop the receipt onto the bill yourself in AccountFUN.
-
Review the bills under Bills → Draft. Check the amounts and accounts, then approve them. If you ticked Approve bills when you connected and your role can approve, you can ask the assistant to approve them instead.
AccountFUN never reads your files for the assistant: the assistant reads the receipt in your chat, and AccountFUN stores the attachment you upload. Image attachments are resized and re-encoded under the file processing rules above.
Everything is recorded
Section titled “Everything is recorded”- Each bill’s History & Notes shows who did what. Actions taken by the assistant read your name, via <app name> (API): created, approved, file attached and notes.
- Each entry also records when it happened and where the request came from (the IP address and the browser or app). When the assistant approves a bill, the entry that posts it to your books names the assistant too.
- Admins see the same entries under Audit History.
- Notes the assistant writes stay in History & Notes, so you can see later why a bill was recorded the way it was. Notes restored from a backup under Admin → Data don’t show “via <app name>”.
- AccountFUN also keeps a log of every request the assistant makes for 30 days. A receipt uploaded through an upload link is recorded under your name via the assistant, with the IP address it was sent from.
Change what an assistant can access
Section titled “Change what an assistant can access”Your access is set when you connect. To add to it later — for example when AccountFUN adds a new capability, or you decide to allow approving after all — reconnect the assistant:
- In the assistant, remove the AccountFUN connector and add it again (or use its Reconnect or Authenticate action).
- AccountFUN opens its review screen again. What you allowed last time is pre-selected, and anything new is marked New.
- Adjust the ticks and click Allow.
You can also Disconnect here first and reconnect from the assistant. Access can’t be widened from AccountFUN’s settings on its own — the assistant has to ask again, and you approve the updated list.
Disconnect an assistant
Section titled “Disconnect an assistant”- Stop your own access: go to Settings → Account → Connected Apps and click Disconnect next to the assistant. Anyone can do this for the connections they made.
- Stop one person’s access: an admin opens Settings → Authorized Applications and clicks Revoke on that connection. The assistant can’t reach AccountFUN again until it is reconnected.
- Stop everyone’s access: Claude, ChatGPT and Perplexity register themselves, so there is no shared app to open — manage each connection per person and per organization under Connected Apps / Authorized Applications above. An app you created for a connector that can’t register itself can be disabled or deleted under Settings → API & Developers.
Removing the connector in the assistant only removes it on the assistant’s side: AccountFUN stays connected until you disconnect it here.
Worked example
Section titled “Worked example”Maya has five receipts from a work trip to Singapore.
- She shares the five photos with Claude and asks: “Record these as bills in SGD. The trip costs go to Travel.” She connected Claude without ticking Approve bills, so it can only record drafts.
- Claude works through the photos. One receipt is too faded to read, so Claude asks Maya for its total instead of guessing. It records five draft bills, adds two new suppliers it couldn’t find, and leaves notes such as “Total read as SGD 42.50 incl. 9% GST”.
- Claude gives Maya an upload link for each bill. She opens them on her phone and uploads each photo to its bill.
- Maya opens Bills → Draft, checks the amounts and accounts, and approves the batch.
- Months later, an auditor opens a bill and sees the receipt, Claude’s note, and “Maya Tan via Claude (API)” in its history.
