Roll back your books

Roll back your books returns your organization’s records to an earlier saved time, with a preview before you confirm. Organization administrators use Settings → Roll back your books, or Admin → Data → View recovery points.

Available on Standard and Plus.

  • Standard and Plus: recover to saved points from before full organization imports and full Xero migrations.
  • Standard: also choose daily saved points within up to 30 days of available history.
  • Plus: choose finer-grained completed versions within up to 30 days of available history.

A saved recovery point is required before a full organization import or full Xero migration can replace data. If protection or saving the point fails, the replacement does not start. A failed import keeps its saved point available for review and recovery.

  1. Open Admin → Data → View recovery points, or Settings → Roll back your books.
  2. Find Import Recovery Points and check the date and time beside Before data import or Before Xero migration.
  3. Click Preview beside the point you need.
  4. Follow the review, confirmation and post-rollback steps below.

Recent import points are listed directly. Use the date and time lookup for an earlier import. Standard also shows its pinned daily points; Plus shows finer-grained completed points.

If you have not run a replacing import, there may be no import recovery points listed yet. A downloaded ZIP is separate from these saved points; see Export, import and recover your data.

  1. Open Settings → Roll back your books.
  2. Check the organization name and the available saved-time range.
  3. Choose An hour ago, Yesterday, or A week ago, or enter a date and time. These choices use your device’s time zone.
  4. Click Preview rollback. Preparing a preview does not change your books.

Standard uses the first healthy completed saved point of each UTC calendar day. Its identity stays fixed even if you change timezone; missing days remain gaps. Plus offers more precise completed points from the same protected history, within a rolling 30-day window. Only completed, compatible saved versions can be selected. Protection starts when history becomes available for your organization; the page shows the times you can actually use. Busy periods can delay saved versions.

The preview uses the closest saved time at or before your choice. Check the actual saved time shown in the preview before continuing.

The preview groups records by what will happen:

ChangeWhat it means
RemovedRecords created after the saved time will be removed.
Brought backRecords deleted since that time will be restored.
Changed backEdited records will return to their saved values.

Open the detailed breakdown to check affected records, or download the full comparison as a CSV. The totals include supporting records such as document lines, payments and file records.

Check the file warnings too. A saved file record cannot restore file contents that are missing from storage. Continuing with known missing files requires a separate acknowledgement. Current file security checks still apply.

When you are satisfied, click Continue to confirmation. You can also choose a different time and prepare another preview.

  1. Check the organization name and saved time again.
  2. Tick the acknowledgement that the rollback is permanent and that you will check activity outside your books. Accept any missing-file warning separately.
  3. Type the organization’s name exactly as shown.
  4. Complete the identity check presented on the page.
  5. Click Confirm rollback and wait for Rollback complete.

Previews expire after 15 minutes. If records or relevant activity change, AccountFUN may ask you to prepare another preview. Going back to review clears your confirmation and identity check.

Payments and refunds already made will not be reversed. A rollback changes your records in AccountFUN. It does not send money, return money, or cancel a bank transfer. Payment entries in your books can change or disappear even though the payment itself is complete.

What stays outside the rollbackWhat you need to check
Emails already sentRecipients still have the email and any attached documents.
Payments, refunds and reimbursements already madeCheck your bank or payment service and correct the bookkeeping where needed.
Downloads and exports already sharedPeople keep their copies, even if your current records change.
Open online checkoutsA customer may still complete a payment. Check your payment service.
Tax submissions and work in other servicesCheck those services directly; AccountFUN cannot rewind them.

Current team access, security settings, your plan, accounting lock dates, and bank and payment connections also stay current. Issued document-number counters are not lowered, so a rollback does not make previously issued numbers available for reuse. A rollback cannot bypass a locked accounting period.

Open Sent emails & payment activity from the rollback page. The review and completion screens also link to activity after your selected time.

This list keeps recorded email, payment, refund, bank import, payment service, document, scheduled-work, export and rollback activity visible after a rollback, even when the related document is no longer in your books. You can search, filter by category or date, and click Download list (CSV).

Check your books before restarting scheduled work

Section titled “Check your books before restarting scheduled work”

Scheduled work stays paused after a rollback. Before turning it back on:

  1. Review Sent emails & payment activity and compare it with your bank and connected payment services.
  2. Correct your books to reflect payments and documents that already exist. Do not send another payment simply because its bookkeeping entry disappeared.
  3. Check upcoming recurring documents, reminders and payment schedules.
  4. In Scheduled work is paused, tick the review acknowledgement, complete a fresh identity check, and click Restart scheduled work.

Restarting enables future scheduled work. It does not automatically resend old emails, catch up missed recurring documents, or reprocess held payment service updates. Some payment-schedule installments remain held for manual review and explicit issue.

Yes. You can select an earlier saved version that is still available, the original selected time, or a saved version created by new work after a rollback. The normal rolling retention window still applies; rolling back does not extend it.

You cannot return to the later versions discarded by a rollback. For example, after rolling back from Friday to Tuesday, Wednesday and Thursday from that discarded history are unavailable. If you then do new work, its saved versions can be selected until a subsequent rollback discards them or they expire.

An older saved import point may show Earlier import snapshot. Recovering that point starts a saved history from the restored books and replaces the existing timeline and old import snapshots. The chosen state becomes the first saved recovery point. Review this warning before confirming; those replaced versions cannot be selected afterward. Current connections, security settings and accounting locks remain in place.

Wait for an admitted import or export to finish before starting another data operation or confirming a rollback. If a crashed operation leaves a hold, contact support rather than retrying it repeatedly.

The service allows up to 10 replacing imports, 10 rollbacks and 50 previews per organization in a rolling 24 hours. If you reach a limit, wait and try again later; starting a new timeline does not reset it.

You paid a supplier HK$500 on Friday, then roll your books back to a saved version from Thursday. The supplier still has the HK$500. The Friday payment entry may no longer appear in your books, but the recorded activity remains available for review.

Check the transfer with your bank and correct the bookkeeping to match the completed payment. Do not pay the supplier again. Review your schedules, then restart scheduled work when you are ready.
