Reports

AccountFUN generates standard financial reports from your posted accounting entries, so you can review your books throughout the year. Open Reports and pick a report; each runs against your live ledger with the parameters you choose.

  1. Open Reports and pick the report card.
  2. Set the parameters (date range or as-of date; for multi-currency orgs, a display currency that converts at the period rate).
  3. Read on screen — every amount is a link that drills into the underlying transactions or the document that produced it.

A non-base display currency shows an amber banner noting the rate and date used.

Star a report card to add it to your favorites — favorited reports appear in the Reports menu in the top navigation for one-click access. New orgs start with Balance Sheet, Profit & Loss, Cash Flow, and Tax pre-favorited.

The Balance Sheet, Profit & Loss, Cash Flow Statement, and Statement of Changes in Equity support comparative periods: show up to 12 prior periods side-by-side (pick a preset of 1–5 or a custom count) to see trends at a glance. In multi-currency orgs, prior-period amounts are translated at the current rate — view in your base currency for period-accurate comparatives.

The Profit & Loss can also switch between accrual and cash basis. Cash basis recognizes revenue when invoices are paid and expenses when bills are paid (plus direct Spend / Receive Money and credit-note refunds) — handy for a quick view of money actually moved.

The Profit & Loss and Balance Sheet can be rearranged to suit how you like to read them: rename and group the lines, add comparison columns (prior year, any date range, variance, percentage) and your own notes, then save the design under a name to reuse it any time. A bar at the bottom of those two reports lets you switch between saved layouts or open the editor.

See the full Custom report layouts guide.

Live reports on screen follow your personal date format, or the organization default if you have not chosen your own. Printed reports, PDF output, and readable Excel exports use the organization’s format instead. Published snapshots keep the format saved at publication.

Every report except Backordered Items has a Download menu with two options:

  • PDF — downloads a generated PDF where supported; otherwise opens your browser’s print dialog to print or save as PDF.
  • Excel (XLS) — downloads a spreadsheet of the report with the parameters you ran it with (shown in the file name).

Excel exports are capped at 20,000 rows; if a report exceeds the limit, narrow the date range or add filters and run it again.

Reports are a summary layer over your journal entries. Click a balance to drill into the Transactions Report scoped to that account and period, then click a transaction to reach its detail page. This chain works all the way down, so any number on any report is traceable to the entry that created it.

  • Lock prior periods under Settings → Organization once you’ve finalized them, so reports can’t be disturbed by late edits.
  • AR/AP Aging lets you age from the due date (when it was supposed to be paid) or the issue date — pick whichever matches how you chase overdue customers.
  • Run the Inventory Item Details report with Group By → Item Code to get per-item subtotals, and watch Backordered Items for tracked items sold past zero so you can reorder or adjust before period end.
  • For multi-currency orgs, the Realized / Unrealized FX (AR/AP) and Bank Revaluation reports are your period-end close companions — see Multi-currency. They split your FX exposure by where it sits: money customers owe you (or you owe suppliers) vs money you’re holding in a foreign-currency bank account.
