Troubleshoot sign-in, reports, imports and AI connections
For bookkeeping problems, start by checking the active organization and the exact document or bank account involved. Keep the error message and the steps that led to it. Use the checks below to identify the cause before entering the transaction again.
Cannot get past the MFA screen
Section titled “Cannot get past the MFA screen”See MFA, authenticator apps and passkeys for first-time setup, rejected codes, passkey problems, and recovery when you lose a device.
A transaction is missing from a report
Section titled “A transaction is missing from a report”- Check the report’s date range, as-of date and other filters. Confirm that you are viewing the intended organization and reporting currency.
- Open the original document and check its status. A draft invoice or bill has not been posted. Approval posts its accounting entries.
- Distinguish an imported statement line from a recorded transaction. Importing a bank line alone does not post to the ledger. Reconciliation can match an entry already in your books or create the missing activity.
- Check whether the report uses accrual or cash basis, where that choice is available. The Reports guide explains the report options.
An approved document or recorded payment can affect reports before you match its bank line. Do not create the same sale or expense again just to make it appear. Use bank reconciliation to connect the bank activity to the existing record.
A bank import looks duplicated
Section titled “A bank import looks duplicated”Check the bank account, statement period, dates, amounts and descriptions of the apparent duplicates, and identify which import method you used. A manual CSV upload and a linked feed can recognize repeats differently. Custom feeds use the named source, worksheet and transaction IDs where provided; rows without IDs and possible overlaps require review. Changed source names, IDs or values can explain why a row was treated differently.
For Needs review, open Review transactions in the custom feed, compare references and payees, then link the existing statement line, import a genuinely separate transaction, or ignore the source row. A matching date and amount alone are not enough. See Custom bank feeds.
Check whether you are looking at two statement lines or at a statement line and its accounting transaction: those are different records. Use the account balance versus bank balance guide to understand the distinction. Do not record another payment to clear an already recorded payment. If a duplicate has already been reconciled, ask your administrator or support to help review it before making corrections.
For the import workflow and expected results, see Import a bank statement.
An approval action is unavailable
Section titled “An approval action is unavailable”Check the document status and your current role. Creating a draft and approving a document are separate permissions. A role with sales or purchases access does not automatically have approval access. Organization-specific roles can differ from the ready-made defaults.
Ask an administrator to review your role using Roles & permissions. If an action produces an error, follow that message: a lock date, an allocation or another document state may prevent the operation. Do not bypass the condition by creating a duplicate document.
For an AI connection, the user must also grant the corresponding approval scope during consent. Changing a role does not automatically expand a connection’s scopes; review and reconnect it if broader access is appropriate.
An AI assistant cannot connect or perform an action
Section titled “An AI assistant cannot connect or perform an action”- Authentication expired or revoked: use the assistant’s reconnect or
authenticate action. Password/security changes can end existing grants.
For an API integration, a
401 invalid_tokenmeans the integration should refresh its access token if possible, or ask the user to authorize again. - Missing permission: a
403 insufficient_scopecan mean that the grant lacks a scope or that the user’s current role does not allow the action. Refreshing the token does not add scopes. Review both the role and consent, then reconnect if broader access is required and appropriate. - A receipt will not open: MCP does not read stored AccountFUN files. Show the receipt to the assistant in its chat. Use the upload link it provides to attach the original to the draft document.
- An upload link expired: request a new link for the existing document; do not create another bill just to get a new link.
- Requests are rate limited: integrations should honor
Retry-Afterrather than immediately repeating the request.
Follow Connect an AI assistant for client-specific setup and reconnection steps. Developers can find response details in Errors & rate limits.
An exchange difference is unexpected
Section titled “An exchange difference is unexpected”Check the document currency, bank currency, posting rate and settlement rate. They describe different parts of the transaction. A rate change between the invoice and payment can create a realized FX gain or loss. Review the rate rather than treating the difference as an extra invoice or payment.
See FX gains & losses and Settlement currency for the explanation and worked workflows.
Get help
Section titled “Get help”If the checks do not explain the result, contact support@accountfun.com with the relevant document number, the action you attempted and the exact error. Do not send passwords, access tokens or bank sign-in credentials. Include only the information needed to understand the problem.
